Job Description

An Accounts Assistant is a key member of the finance team, supporting the efficient running of the finance department. This role involves maintaining financial records, preparing and processing invoices, managing petty cash, and ensuring that all financial transactions are accurately recorded and reported. The Accounts Assistant often works under the supervision of an accountant or financial manager and provides essential support in various financial and administrative tasks.

Key Responsibilities

  • Bookkeeping: Maintain accurate and up-to-date financial records, including ledgers, journals, and registers.
  • Invoicing: Prepare and process invoices, ensuring timely payment by clients and accurate recording of transactions.
  • Accounts Payable and Receivable: Manage accounts payable and receivable, including processing payments, verifying financial data, and resolving discrepancies.
  • Bank Reconciliation: Perform regular bank reconciliations to ensure the accuracy of financial records.
  • Petty Cash Management: Handle and reconcile petty cash, ensuring proper documentation and recording of expenses.
  • Expense Reports: Assist in the preparation and submission of expense reports.
  • Financial Reporting: Support the preparation of monthly, quarterly, and annual financial reports.
  • Data Entry: Accurately enter financial data into accounting software and databases.
  • Audit Support: Assist with internal and external audits by providing necessary documentation and information.
  • Compliance: Ensure compliance with financial regulations and company policies.
  • Administrative Support: Provide general administrative support to the finance team, such as filing, scanning, and handling correspondence.
  • Communication: Liaise with suppliers, clients, and colleagues to resolve any financial queries.

Skills, Experiences

  • Education: A high school diploma or equivalent is required; an associate's or bachelor's degree in accounting, finance, or a related field is preferred.
  • Experience: Previous experience in an accounting or finance role is advantageous but not always required. Entry-level candidates with relevant coursework may also be considered.
  • Skills:
    • Numerical Proficiency: Strong mathematical skills and attention to detail.
    • Technical Skills: Proficiency in accounting software (e.g., QuickBooks, Sage) and MS Office, particularly Excel.
    • Analytical Skills: Ability to analyze financial data and generate accurate reports.
    • Organizational Skills: Excellent organizational skills and the ability to manage multiple tasks simultaneously.
    • Communication: Strong written and verbal communication skills.
    • Problem-Solving: Ability to identify and resolve financial discrepancies and issues.
